Registration Guidelines

Registration is required in order to participate at the 2nd International Conference on Airborne Research for the Environment (ICARE)

Registration to ICARE is possible only via the registration facility on this website.

BESL Eventagentur GmbH & Co. KG is the external partner for participant registration including the invoicing and collection of participation fees.

Online registration closes on 5th of June 2017.

The following means of payment are available:

  • Payment by credit card (MasterCard and Visa Card)
  • Pay Pal
  • Bank Transfer

On completion of the registration process, the system will generate an electronic confirmation of the registration which is automatically sent to the e-mail address provided by the user. Only once the registration fees have been paid in full, will your participation be confirmed.

Payment in full must be made by 5 June 2017. Participants whose participation fees have not been settled by the day of the event will not be granted entry. Please e-mail any amendments or cancellations regarding your participation to fx-orga@dlr.de

Registration Fees

The standard registration fee of €150 includes:

  • Entry to all conference sessions, the poster area and the aircraft exhibition
  • Lunches and coffee breaks each day of the meeting (10 - 13 July)
  • Bus shuttle from the bus station in Wessling to the conference venue at DLR
  • Guided tours of DLR's Galileo Control Center, Microwaves and Radar Institute and German Space Operations Center (limited places on a first-come basis)

A limited number of students may be exempt from this fee on a first-come basis. Please contact the EUFAR Office (bureau@eufar.net), for more information on registration fee exemptions

Participants who wish to attend the conference dinner are requested to make a social dinner reservation on the registration page. The price of the social dinner is €48 per person, and is not included in the conference registration fee.

Please note that in all cases hotel accommodations are NOT included in the registration fee!

Payment Guidelines

Fee payments must be made using one of the following options: credit card, PayPal or bank transfer.
  • For payments by credit card (MasterCard, VISA) and PayPal the total sum is charged with an additional handling fee of 4.5%
  • For payments by credit card the participants must pay all transfer charges.
    While the transfer charges for SEPA transactions within the European Union (and few other countries) are usually very low (in many cases such SEPA transactions are even free of charge), there might be considerable transaction costs for participants from other countries. Please check with your bank which will be the cheapest and/or most convenient payment option (Credit Card, PayPal or Bank Transfer) for you!
  • Please note: The transaction fee for your payment via PayPal / credit card will not be refunded even if your attendance is canceled.
  • Only international credit cards (VISA and MasterCard) are accepted. Please clearly state your credit card information.

Upon submitting the Online Registration Form, each participant will receive a unique registration number by email. Please do not send any payments by bank transfer without the Registration number and participant’s name included in payment details. Such payments cannot be identified.

Cancellation & Refund Policy

Cancellation requests should be submitted in writing by e-mail to fx-orga@dlr.de

Please note
  • All bank service charges, exchange rate differences and administration fees will be deducted from your congress registration refund.
  • Refunds will be made after the conference.
  • Please refer to the following important deadlines for cancellation.

Refund Policy
Until June 5, 2017: 100% refund, minus a 50 EURO administrative charge
From June 5, 2017: No refund

Support for early career scientists

Funding will be provided by ESA for a limited number of early-career scientists to cover their associated travel and subsistence expenses. The funding will be provided on a first come basis. Contact bureau@eufar.net for more information.
