The official language of the conference is English.
Passport and visa
A valid passport is required for non-EU citizens for entry into GERMANY and the European Union. An identity card is sufficient for citizens of EU Member States. Please consult the Consulate nearest to you for special details.
Advance travel planning and early visa application are important, since visa applications are subject to a greater degree of scrutiny than in the past. It is strongly suggested that all attendees contact their local embassy to determine the travel documents they will need to visit Germany.

Letter of Invitation
The Conference Secretariat will send you a letter of invitation upon request. The Organising Committee would like to clearly state that the letter is only to help the participant to obtain a visa or to raise travel funds. The invitation letter does not imply further financial obligations from the Conference towards the participant.
All participants of ICARE requiring an invitation letter for visa application purposes should request this as an option during the online registration. Letters of invitation will not be issued without receiving the registration and payment of the required registration fees.
Should your visa application be declined, you can send a request for a full refund of the registration fees to firstname.lastname@example.org before June 05, 2017. A scanned copy of the visa decline letter should be attached to your request. For requests received from 06 June 2017, the cancellation policy will apply.
The registration fee does not include participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.
All participants must wear identification badges. Entrance to the conference at to the German Aerospace Center will not be permitted to any person without a badge.
Mobile Phone Manners
As a courtesy to other attendees, please observe good mobile phone manners. When attending sessions, please turn off your mobile phone and other wireless communications or use the silent notifications options. If you must take a call, please step out of the room rather than disrupting the event. Thank you for your cooperation.
The German Aerospace Center Oberpfaffenhofen offers free WIFI to all conference participants. Passwords will be announced on-site.
